Process
The full path from a starting event to a business result.
Example: Turning finished work into collected payment is a process.
Task
One piece of work inside a process.
Example: Sending an invoice is a task.
Workflow
The ordered path of tasks, decisions, waits, handoffs, and exceptions.
Example: Check the form, route it for approval, create the job, then confirm receipt.
Trigger
The event that starts an automation.
Example: A payment arrives, a form is sent, or a date is reached.
Condition
A test that chooses the next path.
Example: If required details are present, continue. If they're missing, stop for review.
Action
The thing the automation does.
Example: Create a record, send a message, update a status, or move a file.
Exception
A case that doesn't fit the usual path.
Example: A duplicate invoice or a request with missing details needs a safe place to stop.
System of record
The trusted home for one kind of information.
Example: The accounting system owns the official invoice balance.

- People who do the work describe its steps, decisions, delays, and exceptions.
- Useful when: Start here when the process is small or its records are scattered.
- Watch for: People may describe the official process instead of a difficult Tuesday.
- Process mining
- Software uses time-stamped system records to rebuild the paths real cases took.
- Useful when: Use it for a broad process that leaves a reliable trail across systems.
- Watch for: For most businesses, start with process mapping. Mining needs enough reliable system history to be useful, and it can't explain context that was never recorded.

- Software studies detailed computer actions such as clicks, copying, and window changes.
- Useful when: Use it to study the work inside one desktop task.
- Watch for: Recording employee activity needs a clear purpose, notice, and narrow limits.

Remove unclear steps and name ownership before software repeats the process at speed.
Business example: The owner removes an approval nobody uses, names who handles exceptions, and draws the path the team will actually follow.
- BPM
- Business Process Management is the practice of improving, measuring, and governing a process.
- Useful when: Use it when the process itself needs work. Automation may follow, but it isn't required.
- BPMN
- Business Process Model and Notation is a shared visual language for drawing a process.
- Useful when: Use it when business and technical teams need one precise map.
- Watch for: A diagram is a blueprint. It isn't a working automation.

Use exact rules for facts the business can state clearly. Send missing details, disputed charges, payment approvals, and access decisions to a person.
Business example: Invoices under the written limit go to one approver. Higher amounts go to a second named person.

- A fixed test that determines what may happen next.
- Useful when: Use it for approval limits, required fields, dates, allowed values, and duplicate checks.
- Deterministic logic
- The builder writes the path and the software follows it.
- Useful when: Use it when the same inputs should lead to the same result.
- Watch for: The rule can stay fixed while a password, record, or connected system changes.
04ConnectHow do systems exchange information?
Start with a feature you already own. Next, use a supported connector or API. Use screen-clicking RPA only when a direct connection isn't practical.
Business example: After a job is approved, a connector creates a draft invoice from the customer and job details already held in the project system.

- A supported way for one program to request information or an action from another.
- Useful when: Use it when software offers a direct, supported connection.
- Connector
- A packaged connection with ready-made actions for one product.
- Useful when: Use it to save setup time when it exposes the actions you need.
- Watch for: A connector may offer only part of the full API.
- Webhook
- A message one system sends when an event happens.
- Useful when: Use it when another system should respond soon after a change.
- Polling
- A scheduled check that asks whether something changed.
- Useful when: Use it when the source doesn't send event messages.
- iPaaS
- A cloud platform that provides one place to build, watch, and repair connections between apps.
- Useful when: Use it when several app connections need shared monitoring and error handling.
- Batch data movement: ETL, ELT, and pipelines
- ETL changes data before loading it. ELT loads it first and changes it later. A data pipeline is the repeatable path that moves and prepares it.
- Useful when: Use these for reports, data warehouses, and migrations rather than one customer request at a time.
05DoWhat performs the repeated step?
Use the smallest method that can do the job reliably and leave someone able to maintain it.
Business example: When a signed estimate arrives, software creates the standard folders, tasks, and draft records for the new job.
- Workflow automation

- Low-code or no-code
- A visual way to assemble triggers, conditions, and actions.
- Useful when: Use it when its controls fit the job and the company can own the result.
- Watch for: No-code still involves data, permissions, exceptions, and testing.
- RPA
- Robotic Process Automation is software that clicks and types through another program's screen.
- Useful when: Use it when an older system has no practical supported connection.
- Watch for: Screen changes, pop-ups, and login steps can break it.
06ReadWhat handles documents or unclear information?
Let AI or document tools prepare an answer. Use exact checks and human review before important action.
Business example: Software reads a vendor invoice, prepares draft fields, and sends an uncertain total to the bookkeeper instead of posting it.
- OCR
- Optical Character Recognition turns text in an image or scan into machine-readable characters.
- Useful when: Use it to make scanned text searchable or ready for extraction.
- Watch for: Reading characters doesn't prove the value is correct or explain what it means.
- IDP
- Intelligent Document Processing classifies documents, extracts fields, scores confidence, and applies checks.
- Useful when: Use it when layouts vary and named fields must become draft records.
- Predictive AI
- A model estimates a category, score, risk, or likely result.
- Useful when: Use it when the business can name the estimate, test its quality, and decide what may happen because of it.

- Useful when: Use them to summarize, compare, extract, or prepare a draft.
- Watch for: A fluent answer can still be unsupported or wrong.

- Retrieval-Augmented Generation finds approved source material before an AI model answers.
- Useful when: Use it when an answer should come from current company documents and include sources.
- Watch for: Finding a relevant passage doesn't guarantee the model used it correctly.
- Confidence score
- The software's estimate of how sure it is about a result. It isn't proof that the result is correct.
- Useful when: Use a written threshold to send uncertain fields to review. Important fields may still need review even when the score is high.
07CoordinateWhat keeps people, systems, and automations moving together?
Give each case a visible place, a next step, and an owner when it must wait or stop.
Business example: An onboarding case waits for the manager's access decision, then starts the approved account and equipment tasks.
- Process orchestration
- Software tracks each case and tells the next approved person, system, or automation when to act.
- Useful when: Use it when a process has several moving parts and waiting points.
- Queue
- A controlled waiting line for work, retries, or human review.
- Useful when: Use it to handle volume and keep failed or uncertain cases visible.
- Straight-through processing
- Routine cases that pass every check move from start to finish without manual handling.
- Useful when: Use it only for qualifying cases with clear exception rules.
- Bounded AI agent
- An AI system that may choose among approved steps or tools, but only within named data, actions, time, and spending limits.
- Useful when: Consider one only when a fixed workflow can't handle the needed variation.
- Watch for: Most businesses should start with a fixed workflow. An agent's wrong early choice can affect several later actions.

08ControlHow does the business stay in charge?
A working demo isn't an operating plan. Name who can approve, inspect, stop, recover, and take ownership.
Business example: The company owns the service account, receives failure alerts, can switch to the written manual path, and removes the builder's access at handover.

- A person must review or approve before the workflow continues.
- Useful when: Use it for uncertain results and actions with real business consequences.

- Guardrail
- A control that limits data, tools, amounts, actions, time, or access.
- Useful when: Use enforceable limits outside the AI model for important restrictions.

- Least privilege and service account
- Least privilege means the automation gets only the access it needs. A service account is the company-controlled login it uses instead of a person's login.
- Useful when: Use both so access stays narrow and ownership doesn't leave with one employee.

- Audit log and observability
- An audit log records what happened and who acted. Observability combines run history, alerts, and error details so an owner can understand why work failed.
- Useful when: Use both to find wrong, missing, delayed, and failed work.

- Duplicate protection, rollback, and fail-safe
- Duplicate protection stops the same event from acting twice. Rollback reverses what can be reversed. A fail-safe stops and alerts an owner when work can't continue safely.
- Useful when: Define all three before launch and match them to the real business action.
- Handover
- The company receives the workflow, accounts, instructions, limits, recovery path, and control of future changes.
- Useful when: Require it before the builder leaves.
These are layers of one system. They aren’t a maturity ladder.
Terms that sound alike but do different jobs
- BPM, BPMN, and BPA
- BPM improves and manages the process. BPMN draws it. BPA performs or coordinates parts of it.
- API and RPA
- An API talks directly to software through a supported connection. RPA clicks and types through the screen like a person.
- Process mining and task mining
- Process mining studies event records across a process. Task mining studies the detailed computer actions inside a task.
- OCR and IDP
- OCR reads characters. IDP identifies the document, extracts useful fields, scores uncertainty, and applies checks.
- Workflow and AI agent
- A workflow follows a path selected by its builder. An AI agent may choose among approved steps while it runs.
- Automation and autonomy
- Automation performs work. Autonomy describes how far software may go before a person must approve or intervene.
