“I Can Do It Faster” Is Only Half the Calculation

You might finish the task faster. The other half of the calculation is how much of your attention it requires, and what you could do if it needed less.

Problem

“I can do that faster than the automation.”

You might be right. You know the system. You know which fields to copy, where the information belongs, and who needs the confirmation. You can finish in two minutes. The automation might take five.

But that comparison leaves out something important: the task needs your attention for those two minutes. How much of the automation’s five minutes needs you?

Suppose an automated process runs reliably in the background and only asks for help when something needs a decision. It may finish later while requiring less of your time. That difference belongs in the calculation.

Two clocks are running

When evaluating automation, there are two useful measures: elapsed time, or how long until the task is finished; and human time, or how much time someone must spend making it happen.

Consider a hypothetical routine: transferring approved information between systems and sending a confirmation. Doing it manually might be quicker from start to finish. An automated workflow might take longer because it checks for new records on a schedule or waits for another system to respond. During that wait, the person can be doing something else.

The right choice depends on the work. If a customer is waiting for an immediate answer, elapsed time matters. If the update simply needs to be completed before the next working day, a few extra minutes may have little consequence. Ask what the deadline requires and how much human involvement the process deserves.

Being quick at a task doesn’t mean you need to keep doing it

People become efficient at work they repeat. They learn the shortcuts, remember the exceptions, and develop a rhythm. That skill is valuable. It also means a recurring task can feel too small to question.

“It only takes me a couple of minutes.” Perhaps it does. But someone still needs to remember it, stop what they are doing, open the right systems, and complete it.

A useful automation can remove that recurring obligation. The person no longer has to carry the routine through each time it comes due. Their knowledge still matters when defining the rules, deciding what an exception looks like, and determining when the process should ask for help.

Measure both clocks

The two-minute manual task and five-minute automation are hypothetical. They illustrate two measures, not a client result or a promised saving.

Elapsed time

  • How long until the task is finished?
  • Include waiting between systems.
  • Check whether the result arrives when it is needed.

Human time

  • How much of that time requires a person?
  • Include review, corrections, and intervention.
  • Count setup and ongoing maintenance too.

Elapsed time measures how long completion takes, including waiting. Human time measures the attention people contribute, including review, correction, setup, and maintenance. Evaluate both against the task’s deadline.

Solutions

Count the attention the automation still needs

A process running in the background does not automatically mean someone has been freed from it. If a person watches every run, checks every field, or regularly repairs the output, that effort belongs in the comparison. So does maintaining the workflow when the underlying systems change.

Before deciding whether an automation helps, ask

Setup effort matters too. A task performed once may be quicker and cheaper to handle manually. A recurring task gives the initial effort more opportunities to pay back. The answer should come from the actual workflow.

  • How much hands-on time does the manual process require?
  • How much review and correction does the automated process require?
  • How often does someone have to intervene?
  • Does the result arrive when it is needed?

What would you do with the time?

This is where the conversation becomes more useful. If the task no longer required your attention, what would become possible?

You might prepare properly for a customer meeting. Follow up on an unanswered question. Work through a decision you have been postponing. Finish a piece of work without stopping to update another system. You might also have some breathing room between commitments.

The answer does not have to be another task. Making the working day more manageable is worth considering too. Naming the benefit helps determine whether the automation is useful. It gives you something to check afterward: did the person actually gain the time and freedom you intended?

Finish the calculation

“I can do it faster” is a reasonable observation. It measures one part of the process. The next question is: “How much of my time does this task need, and what could I do if it needed less?”

That gives you a fuller basis for deciding what to automate.
